The Importance of Early Project Definition for Project Success

It is no surprise that project success depends on careful planning and preparation. Without a clearly defined scope of work, projects often fall short of their potential. It is therefore essential to take the time to properly define a project before beginning work. In this article, we will discuss why early project definition is so important for project success and provide some examples.

The number of projects that have little or no understanding of what they are trying to achieve is astonishing. Without a well-defined scope, projects may lack focus and direction, and may not achieve the desired outcomes. Having a clear scope of work provides stakeholders and management with a common view and strong understanding of the project objectives. It also serves as a good starting point for the definition of more detailed documents such as the project plan, project budget, and functional and communication matrix.

Examples of mistakes made due to inadequate project definition include designing or writing the RFQ before fully aligning on the sourcing strategy, not adequately addressing the reserved organization assumptions (RFP), insufficient study and evaluation of service providers, and inadequate evaluation of RFQ and RFP responses.
